Redact Spreadsheets (Beta)

New

A pupil list or a payroll export used to go to the requester as a PDF print of the sheet, often dozens of pages of cut-off columns. Now you redact an attached spreadsheet in a grid, and the requester gets a spreadsheet back.

Spreadsheet redaction is in Beta. It is new, so the grid carries a Beta label. Check the exported workbook before you share it, and tell us anything that looks wrong.

Redact in a grid

Open an attached spreadsheet in Redact and it shows on its tab as a grid, with the file's own column widths, merged cells and formats.

  • Cells, rows, columns and sheets. Select what you need and press R, or use Redact sheet for a whole sheet. Sheet names can be redacted too.

  • Reasons. Redact with a reason and it goes on the Schedule of Redactions like any other.

  • Words you redacted elsewhere. Terms from Search & Redact, word lists and People are marked and covered, including a name split across a Forename and a Surname column.

  • Formulas. A formula that reads a redacted cell is covered as well, so the value can't be worked back out.

What the requester gets

  • A rebuilt .xlsx. Values and formatting are kept, formulas become their values, and hidden sheets and rows stay out.

  • A clear name. The file ends in _REDACTED only when something in it was redacted.

  • A fallback. If a spreadsheet won't open in the grid, you can redact it on the PDF view instead, and it is sent as its PDF.
